Managing Backorders

Backorders are a fact of life for most publishers. The Cat's Pajamas makes it easier to manage them by creating backorders and backorder notifications, displaying backorder levels for each title, and streamlining the release or cancellation of backorders when the books arrive. 

Backorders are captured for marketing and forecasting purposes, but don't affect sales or accounting functions until released and shipped.

Entering Backorders

  • As orders are entered, out-of-stock books are detected and the operator has the option to backorder them. 

  • The operator is alerted if stock is available in another warehouse or a possible duplicate backorder is detected. 

  • Code customers with backorder policy information, such as "No backorders", "Backorder only NYP", minimum quantity, minimum weight, combine P.O.s, etc.

  • If the customer doesn't want titles backordered, out-of-stock titles can show as cancelled on the order. 

  • You can flag specific titles as "no backorders".

  • Add a comment to the backordered item for printing on the invoice that will be created when the backorder is ready to ship.

  • Backorder an entire order if one or more items are not available.

  • Assign a cancellation date or "earliest release" date for future-ship orders. Each backordered item on the original order is automatically annotated with due date information; a special comment can be tied to a backorder to print on the invoice at release.

  • View/print/cancel all backorders for a specific customer, cancel all or some backorders by date, title, or other criteria.

  • During order entry, view backorder information for a title: quantity on backorder, due date, print quantities, printer, and other reorder information.

  • Edit backorders at any time prior to their shipment.

Prepaid Backorders

  • Special logic streamlines prepaid backorders. 

  • If the customer sends a check to cover the entire order, a credit adjustment can be automatically added to the customer's account when the backorder is entered. When the backordered item is eventually shipped, the credit adjustment will automatically apply to that transaction. 

  • If the customer pays by credit card, you can choose to charge only the shippable amount to the credit card now, and defer charging the backordered items to the credit card until they can be shipped. When the backorder is released, the card is charged automatically.

Releasing Backorders

  • When stock is received, release the accumulated backorders for each title by your specified criteria. 

  • No release of backorders to customers with bad credit codes.

  • Restrict release of backorders to specific titles, customers, credit codes, order value, or other.

  • Control release of backorders by shipping method, age of backorder, size of backorder, shipping zone, and other criteria.

  • Option to combine items from different purchase orders on same invoice with complete P.O. annotation for customer.

  • Option to add fillable backorders during regular order entry to save shipping costs -- full P.O. annotation.

Reporting On Demand

  • View up-to-the-minute backorders for a customer or groups of customers, or run reports at the level of detail you require whenever you need them. Print reports by customer, book, sales area, cancel date, prepaid terms, or other specified criteria.

  • Notify your customers of a cancellation by exporting into a mail merge program a list of customers who have backordered that title.
